This Privacy Policy explains how Vega Media Productions, LLC (doing business as VMP Agency) collects, uses, and shares information for our media services.

This policy applies to:

media.vmpagency.com

VMP-related forms, scheduling pages, and client portals hosted through Go High Level (GHL)

Any communication you have with us through email, phone, or our portals

If you are using our AI services at ai.vmpagency.com, that subdomain has its own separate privacy policy.

1. Information We Collect

We collect information in a few ways:

A) Information you give us directly

When you fill out a form, book a call, hire us, or use a portal, we may collect:

Name

Email address

Phone number

Business name and business details

Project details, shoot info, creative preferences, and notes you share

Communications with us (emails, portal messages, feedback on edits)

B) Information from scheduling and service delivery

To book and manage appointments we collect:

Name, email, phone number

Appointment details and reminders

Scheduling runs through GHL calendars and/or Google Calendar.

C) Payment and invoice info

Payments and invoices for VMP run through QuickBooks Online.

We do not store full credit card numbers ourselves. QuickBooks handles payment processing.

D) Information from public sources for outreach

We may collect business contact info from public sources (like company websites, directories, or LinkedIn) to build our own lead lists for cold outreach. This can include your name, business name, role, email, phone number, and website.

E) Website usage data (automatic collection)

When you visit our site, we may automatically collect:

IP address

Device/browser type

Pages you view and actions you take

Approximate location (city/state level)

This data is collected through analytics and ad tools listed below.

2. How We Use Your Information

We use your information to:

Provide and deliver media services

Communicate with you about projects, timelines, reminders, and appointments

Share project files and video edits for review and delivery

Send invoices and process payments

Manage client relationships inside our CRM and portals

Run referral tracking so we can credit the right people

Improve our site, services, and internal workflows

Comply with legal, tax, or accounting requirements

We do not use your data for mass email marketing or SMS marketing for VMP.

If you are a marketing-services client using a VMP portal, communications inside that portal are part of your service delivery.

3. Where Your Information Is Stored

We store and manage data using trusted platforms, including:

Go High Level (GHL) for CRM, forms, portals, messaging, and website hosting

Google Workspace / Gmail for email and project communication

Google Drive for file delivery and storage

Blackmagic Cloud for video edit review and collaboration

QuickBooks Online for invoicing and payment records

Stripe may be used in the future if we change payment systems, but it is not currently used for VMP media payments

These providers use standard security measures to protect your information.

4. How We Share Information

We do not sell your personal information.

We may share limited information only when needed to run our business, such as:

With service providers that help us operate (like GHL, Google, QuickBooks, Blackmagic, and Drive)

With advertising and analytics partners (like Google Analytics and Meta Pixel) so we can measure and improve ads

Under California law, this type of transfer may be treated as “sharing” for cross-context behavioral advertising. 

If required by law, court order, or to protect our legal rights

We don’t rent your information or hand it to random third parties.

5. Cookies, Pixels, and Tracking

We use a few tools to understand site traffic and improve performance:

Google Analytics to see how visitors use the site

Meta Pixel to measure ad performance and support retargeting

We do not currently use TikTok Pixel on VMP pages.

You can control cookies in your browser settings.

If you are in California, you can also opt out of “sale or sharing” of personal information used for targeted advertising. See Section 7.

6. Emails and Texts

If you contact us or become a client, we may send messages related to:

your project

scheduling and shoot reminders

file delivery and review

invoices and payments

These are service messages, not promotional blasts.

7. Your Privacy Rights (California)

If you are a California resident, you may have the right to:

Request access to the personal information we have about you

Request correction of inaccurate information

Request deletion of your information

Opt out of the “sale” or “sharing” of personal information for targeted advertising

Not be discriminated against for using these rights

Do Not Sell or Share

We provide a “Do Not Sell or Share My Personal Information” link on our site for California opt-outs.

We also recognize opt-out preference signals like the Global Privacy Control (GPC) where applicable. 

8. Data Retention

We keep personal information as long as needed to:

deliver services

maintain records for business, legal, or accounting reasons

We do not automatically delete client or lead data on a set schedule, but we will delete your information if you ask, unless we are required to keep it by law.

9. Children’s Privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this policy from time to time.

If we do, we will update the Effective Date above.
